Candidate consents and data
The two consents requested, what is kept, and what the candidate can consult themselves.
Recruiting means handling personal data. Here is what Shyfter asks candidates, what is kept, and what the candidate can consult or correct on their side.
Two consents, requested separately
At the end of the form, the candidate answers two separate questions:
- The processing of their application: required. Without this box, the form cannot be sent.
- Keeping their profile in your talent pool: optional, for future roles.
Both are shown on their record, and the Consent column of the Candidates list repeats them.
No talent pool consent, no talent pool: Shyfter refuses to add someone who has not given it. There is no way around it, and that is on purpose.
Presentation videos are deleted after 60 days
The presentation videos recorded by candidates are automatically erased after 60 days, file and recording alike. If a video counts in your decision, watch it while the application is active.
The CV, the photo and the other documents are not affected: they stay attached to the record.
The candidate portal
A candidate who has applied can open their portal: they enter their email, receive an access code by email, and then reach:
- the status of their application: Active, In progress, Rejected, Hired, Withdrawn or Archived;
- their details, which they can correct themselves (address, city, postal code, country, language);
- their documents, which they can complete (CV, cover letter, certificate, other);
- their interviews, which they can reschedule or cancel;
- a request to export their data.
A correction made by the candidate in their portal is reflected directly on their record, which avoids a back and forth by email over a mistyped address.
Who sees what
The module follows the roles and the departments of your Shyfter account. A manager authorised on a single department only sees the jobs and the candidates of that department. See Activate recruitment and give your team access.
Internal notes stay internal
The rejection reason and the Notes tab of the candidate record are never sent to the candidate and appear nowhere on the public side. They stay visible to your team: write there what will help you decide, not what you would not want read back to you.
