Shift Swap: exchanging shifts between employees
Enable Shift Swap so your employees can swap their shifts, and set the approval, the notice period and the notifications.
What is Shift Swap
Shift Swap lets your employees exchange shifts among themselves directly from the Shyfter Staff app. If an employee can't cover their shift, they offer the swap to a colleague, without you having to handle the operation manually. You keep control over the approval and the minimum notice period.
Enabling and setting up Shift Swap
Go to Settings ⚙️ → Schedules → Shift Swap.
The screen offers the following options:
- Enable shift swap: allows your employees to swap shifts. As long as the option is disabled, swapping is not offered in the app.
- Automatically approve requests: automatically validates swap requests. If the option is disabled, each swap must be approved manually by a manager before it takes effect.
- Minimum number of days between the request and the start of the shift: the notice period to respect when submitting a request. For example, a value of 2 means the swap must be requested at least two days before the start of the shift.
- Notify account administrators, schedule managers and HR of each new request: a message is sent to these profiles as soon as a swap request is made.
- Notify account administrators, schedule managers and HR of each shift transfer: a message is sent to these profiles when a swap is completed and the shift is actually transferred.
Remember to save.
How it works for the employee
From Shyfter Staff, the employee opens the shift they want to give up and offers a swap. The colleague receives a notification and can accept or decline. If automatic approval is disabled, a manager must then validate it. Once the swap is confirmed, the schedule is updated automatically and the shift is transferred to the new holder.
