Cost management at clocking

Create custom costs (expenses, tips, cash float, mileage...) that your employees declare when they clock, with a targeted format and statuses.

Cost management lets you collect numeric or text information directly at clocking time. In practice, you define "costs" (or expenses) that the employee fills in when they clock: a tips amount, a cash float, a number of kilometres, a free note, etc. It is a simple way to collect this data at the source, without a separate form. Go to Settings ⚙️ → Clocking → Cost management.

The list of costs

The table shows your existing costs with, for each one: the ID, the Name, the Format, the Mandatory indicator, the Colour and the Actions. You can reorder the rows by drag and drop, and each cost can be edited or deleted. A search lets you find a cost, and an add button opens the creation panel.

Creating or editing a cost

The creation panel ("Add a cost") has the following fields:

  • Name: the label of the cost, the one the employee sees at clocking (for example "Tips", "Cash float", "Mileage"). Mandatory.
  • Format: the type of expected answer, to be chosen from Text (a free note), Number (an amount or a quantity) or Yes / No (a binary answer). Mandatory.
  • Statuses: the employee statuses this cost is offered to. By targeting certain statuses, you display the cost only to the relevant people (for example only floor staff). Without a selection, it is not restricted by status.
  • Mandatory: if enabled, the employee must fill in this cost to validate their clocking.
  • Colour: a colour to spot the cost easily.

Finish with Save. The cost then becomes available at clocking for the targeted employees.

What it is for

By gathering these declarations at clocking time, you centralise data useful for tracking and payroll without multiplying channels: the employee enters the information once, at the right moment, and you find it linked to their clocking. Mandatory costs guarantee that the information is always collected.
