Conditions for creating a Dimona

Check that your team member's profile is properly filled in before sending a Dimona declaration from Shyfter.

The Dimona (Immediate Declaration of Employment) is a Belgian legal obligation: every employer must declare each worker to the ONSS before their first day of work. A missing or late Dimona exposes you to penalties, which is why it is important to properly prepare the team member's profile. Shyfter automates the submission, but the declaration can only go through if the ONSS can identify the worker and link the declaration to the right type of contract. In practice, a few pieces of information therefore need to be in place in the profile.

Why these conditions

The ONSS needs two things to accept a Dimona: to identify the person (via their national number, or failing that their identity and address) and to know the nature of the employment (the type of worker, which determines the social security scheme). If either of these pieces of information is missing or incorrect, the declaration is rejected. The points below cover these requirements.

The 4 conditions to meet

1. Enable Dimona eligibility

Go to Team → Users → team member profile → Settings. The "Eligible for Dimona" box must be checked. Without this being enabled, Shyfter will not submit any Dimona for this team member.

2. Enter the national number (NISS)

Go to Team → Users → team member profile → Profile data. The national register number (NISS) must be entered correctly. It is on the basis of this number that the ONSS identifies the worker. An error in the NISS causes the Dimona to be rejected.

3. Indicate the Dimona status and the user status

Go to Team → Users → team member profile → Contractual data. Enter the Dimona status (contract type: OTH, STU, FLX, and so on) and the user status (blue-collar worker, white-collar employee, student, and so on).

4. For workers without a Belgian NISS

If the team member does not have a Belgian national number, go to Profile data and enter their nationality as well as their residential address. This information replaces the NISS for identification with the ONSS.

Additional information depending on the type

Some worker types require additional data, without which the declaration fails:

  • Student (STU): the number of hours to declare (which counts against the student's annual quota) and, where applicable, the place of work.
  • Flexi-job (FLX): the team member must meet the flexi eligibility conditions (sufficient employment with another employer during the reference quarter).
  • Horeca extra (EXT): the declaration is daily, with the start and end times communicated.

Quick check before sending
