The monthly hours balance

Understand and use the hours balance to track each employee's flexibility month by month.

What is the hours balance for?

In addition to the (weekly) overtime counter, the hours balance offers a monthly view. It compares the hours actually worked (clockings) or scheduled (when no clocking exists) with the employee's contractual norm. It is particularly useful for calculating and tracking flexibility.

The two types of norm

You choose the calculation norm for each employee, directly from the balance tab.

Strict norm

Corresponds to the number of hours per week divided by the number of days worked per week. It is the raw daily reference derived from the contract.

Smoothed norm

Corresponds to the annual hours reduced to a daily equivalent: weekly hours are multiplied by 52 weeks, divided by 12 months and then by 20 days, and adjusted with a coefficient of 4.33. For an employee working 30 h/week, this gives a norm of around 6.5 h per day.

Reading the balance

In the Balance tab of an employee's profile:

  • The grey portion represents scheduled hours (including absences).
  • The green portion represents clocked hours.
  • The counter is the difference between hours worked and the norm over the month.
  • The balance is the running total of these counters from month to month.

Why don't the counter and the difference always match?

Sometimes a gap appears between what you expect and the counter displayed. This happens when scheduled absences do not exactly match the daily norm.

Example: a scheduled absence of 6 h while the norm is 6.5 h creates a gap of 30 minutes. By clicking the eye icon at the end of the row, you get the day-by-day detail explaining this gap.

Adjusting the counter at the end of the month

At the end of each month, you can manually edit the counter and add a comment. The balance of the following months automatically adapts to this new value.

Where to view the balance?

The balance is accessible from the employee's profile: Team → Users → [Employee] → Balance tab.
