HR sheets
The monthly recap of each employee's hours: view, validate and generate the export to your payroll office.
What are HR sheets for?
The HR sheets are the culmination of your month: for each employee, Shyfter calculates a recap of hours worked, absences and leave over the selected month. It is from these sheets that you validate the data and generate the export to transmit to your payroll office for payroll.
Go to Reports → HR sheets.
Choosing the month
A month selector at the top of the page determines the displayed period. Change the month to view a past sheet or prepare the current month.
The list of sheets
Each row corresponds to an employee and displays:
- Employee: last name and first name.
- Status: the user category (employee, student, etc.).
- Period: the start and end dates covered.
- Hours: the total hours retained for the month.
- Leave days: the number of absence or leave days.
- Unscheduled hours: hours clocked outside the schedule.
- Clocking: the hours derived from clocking.
- Validation: indicates whether the sheet is validated or not.
Depending on your account settings, the calculation can rely on scheduled hours or on clocked hours. Clicking a sheet opens its day-by-day detail.
Validating the sheets
Before the export to the payroll office, the sheets must be validated. You can:
- validate or invalidate a sheet individually,
- select several sheets (or all of them) and validate or invalidate them in a single bulk action.
Validation confirms that the employee's hours are correct and ready to go to payroll.
Generating the export
The export button launches the generation of the file destined for your payroll office. If some sheets are not yet validated, Shyfter warns you before continuing, so that you do not transmit incomplete data.
Once generated, the export is found in Reports → HR sheet exports, from where you can download it and track its transmission.
Get into the habit of validating everything before the export: it is the best way to avoid payroll corrections at the end of the month.
