Clocking QR codes

Use the department QR code to make clocking more reliable: enabling the scan, mandatory scan and downloading the QR code to display.

Clocking by QR code lets your employees clock in by scanning a code displayed at the workplace, from the Shyfter Staff mobile app. It is a simple way to link the clocking to a physical location and to limit remote clockings.

Why use QR codes

Scanning a QR code is quick and limits entry errors. Above all, by making the scan mandatory, you ensure that the employee is indeed on site at the moment they clock, without having to install complex equipment: a printed and displayed QR code is enough.

Enabling the QR code scan

The scan is enabled in Settings ⚙️ → Time clock → Shyfter Staff:

  • Enable QR code scanning: your employees can scan a QR code from the app to clock.
  • QR code scan requirement: makes the scan indispensable. Without scanning the QR code, the employee cannot clock. It is the option to enable if you want to guarantee a physical presence.

Retrieving the QR code to display

There are two levels of QR code, depending on the desired precision:

  • Per department: the department QR code is downloaded in Settings ⚙️ → Time clock → Settings, in the Department QR code section, via the download button. It is the establishment's global QR code.
  • Per section: each section also has its own QR code. Open the section concerned (in its settings) and use the download button for its QR code. You can thus link the clocking to a precise location (kitchen, dining room, bar, etc.) rather than to the establishment alone.

In both cases, print the QR code and display it legibly at the clocking spot (entrance, counter, locker room, section station). Choose the department level for a single clocking point, or the section level if you want to distinguish where each person clocks.

How it works day to day

The employee opens Shyfter Staff, chooses to clock, then scans the displayed QR code. The scan records the clocking by linking it to the right context. If the scan is mandatory, it is the only way to validate the clocking from the mobile.

The QR code can be combined with geolocation: by also enabling GPS during clocking, you cross-check the physical presence (scan) with the recorded position.
