The Payroll tab: the end-of-month course
Six screens in the order of the month, from checking the sheets to transmitting them to your payroll office.
The Payroll tab brings together, in one place and in the order you actually do them, every step that leads from your clockings to the file your payroll office receives. These steps used to be scattered across several Reports screens. They now form a course.
One useful point straight away: Shyfter prepares and transmits the worked hours. Calculating the wages themselves stays with your payroll office.
The six screens, in the order of the month
The bar under the main menu is headed Preparation and carries the six screens. It keeps the month you are working on: moving from the closing to the sheets does not send you back to the current month.
- Closing: the list of what still stands in the way of closing the month, and the button that closes it.
- Locking: freezing schedules and clockings for a period so that nobody edits them any more.
- Timesheets: one sheet per employee, to check and then validate. Whatever is not validated here does not go to payroll.
- Export payroll: generating the file and transmitting it, then finding the history of every transmission.
- Full report: the document that puts everybody's hours, absences and balances on one page, to read just before transmitting.
- Hours balance: each employee's overtime counter, in a single table.
Where you land when you open the tab
It depends on what you do there. If you prepare the month, you arrive on the Closing, which is your list of what is wrong. If you answer for the payroll that goes out, you arrive on the Timesheets, the very substance of what you are about to send.
Not everyone sees all six screens
Two settings decide what is displayed.
Your payroll level. A preparer checks the month, corrects the sheets and follows how the other venues are doing. They do not lock, do not close and do not export: Locking, Full report and Export payroll simply do not appear in their bar. Full access sees all six screens. As long as nobody has set anything, all your managers have full access, exactly as before this setting existed.
Period locking. As long as it is not enabled on the account, the Locking screen is removed from the bar: a lock that prevents nothing would suggest a protection that does not exist.
Both settings live in Settings → Human resources → Payroll.
The old screens have not gone
The Timesheets and their export remain available from Reports, exactly as before, with the same data and the same buttons. The Payroll tab does not replace them, it puts them back into the course of the month and into a clearer layout. You choose the path that suits you.
The cycle, in one sentence
You check and validate the sheets, you look at what the closing still holds against the month, you fix it, you lock if your account uses locking, you close, then you export.
