The hours balance
Every employee's overtime counter in one table, with what is left to smooth out before the end of the period.
The hours balance answers a simple question for the whole team at once: where does each person stand on their overtime counter, and how much time is left to bring it back to zero. It is the flexibility tool, the one that stops you discovering in December a balance that cannot be worked off.
Go to Payroll → Hours balance.
The truth remains the employee's profile, Counters → Overtime tab. This screen recalculates nothing of its own: it shows the same result, gathered together.
The overview table
One line per employee:
- Employee: clicking opens their counter profile, where the figure shown comes from.
- Current counter: the overtime balance accumulated at the date consulted, to the hundredth.
- Basis: the hours the counter adds up, either the planned, the clocked, or the gap between the two. This is set on the employee's profile.
- Rule (profile): the contractual reference compared against those hours, that is a schedule template, the contract hours, or profile data. It is set on the profile, Status tab. With no contractual reference, the counter directly compares planned and clocked.
- End date: the end of the counter's reference period, today the calendar year of the date consulted.
- Time left: what remains before that date, counted from the date consulted.
- Target weekly delta: what would need smoothing out each week to bring the counter to zero before the end of the period. Its sign is the opposite of the counter's.
A gap that is too wide over the period raises an alert on the line, with the deadline by which it should be worked off, through recovery, the schedule or an adjustment.
The table's settings
- State at date: the reference date for the whole screen.
- Active contracts at that date only.
- Tracked counters only: profiles with no counter are then hidden, and their number is shown.
- Show hours as decimals.
- Reference period: the calendar year.
- A search by employee, and Reset filters.
Counters not yet calculated
Some counters may not be calculated yet. The screen says so and offers to Calculate them, or to Refresh the whole set.
On large venues, beyond 150 people, the overview falls back on the stored total rather than recalculating every profile, to stay fast. The line then says so, with the date of that total, and invites you to open the profile for today's figure.
A month in detail
The Details button opens the sum of the month's days, as the profile calculates them, with one column per kind of hours:
- Clocked and Planned: the hours of the month's working days.
- Absences: absence hours, public holidays excluded since they have their own column.
- Public holidays, and Holiday hours worked for a working day falling on a public holiday.
- Contract: the contractual hours of the month's days.
- Recovered hours: recovery taken during the month.
- Overtime: the sum of the month's daily gaps. Careful, the counter is worked out weekly: this total is a reading of the month, not the counter.
- Overtime at previous closing: the snapshot frozen at the previous closing, for comparison. With no closing yet, there is nothing to compare.
Downloading
PDF opens the balance as it is displayed. Excel produces an Overview tab and a Details tab. If the PDF does not open, allow pop-ups for this site.
