The full report

The document to read just before transmitting: the whole team's hours, absences and balances, day by day.

The full report is the only screen that puts everybody's hours and balances on one page, detailed day by day. It is the document you read just before transmitting, and the one you keep in case your payroll manager asks a question.

Choosing what the report covers

Period. The month, with navigation year by year. The number of days covered is shown.

Content. Two boxes to tick: Include the absence report and Include the clockings.

Scope. The list of your employees, with a search and a Whole team button. The generate button says how many people are selected. Beyond a certain size, Shyfter offers to generate the first reports only, so as not to keep you waiting.

Generation reads one sheet per employee, so it takes a moment on a large team.

Reading the report

Each employee has their page. The header recalls whether their sheet is validated (and by whom) or not, what basis it is calculated on (clocking basis or schedule basis), their contract over the period, and days to work against days worked.

The table gives one line per day, and several lines for a day carrying several codes:

  • Day and Date
  • Code: the payroll code of the line, as the sheet sends it
  • Notes
  • Contract: the day's contractual hours
  • Hours: the hours the sheet retains for that day, according to its validation basis
  • Holidays
  • Paid absence and Unpaid absence (the latter column also holds absences whose category is not classified)
  • Planned: the day's planned hours, and the shift's times as posted
  • Clockings: the badged hours, the actual span, paid and unpaid breaks, and the hours finally retained

Days with no clocking expected are marked Rest, and a missing clocking is flagged. A total appears at the end of each week.

The totals

At the foot of each page: total worked, total declared, contract, hours worked on public holidays, paid and unpaid absences, unclassified absences, total paid, planned hours, clocked hours, paid and unpaid breaks, recovery, and the balance.

The balance deserves an explanation, because it reads in three ways depending on the person:

  • If the employee has no overtime counter, it is total paid minus contract minus recovery, read off the timesheet.
  • Counter at a date: the overtime counter as the Counters tab shows it at the end of the month's last completed week. A counter is worked out weekly, and a week does not cut into months.
  • Month balance: the same formula applied to the month, which is the same figure as the month's line in the profile's Counters tab.

Downloading

Two outputs: PDF, which opens the report as it is displayed, and Excel, with one tab per person. If the PDF does not open, allow pop-ups for this site in your browser.

An honest reservation

The premium columns (day, evening, night, meal) are not displayed. They are waiting for their calculation engine, and Shyfter would rather show nothing than zeros that would look like a result.
