Configuring payroll: who prepares, who transmits, and the lock

The settings that decide what each person sees in the Payroll tab, who the lock blocks, and how your exports go out.

The Payroll tab works with no configuration: by default all your managers have full access to it and locking is in observation. The settings described here are for when you want to share out responsibilities, have locks genuinely enforced, or transmit several venues in a single file.

Go to Settings → Human resources → Payroll. The section only appears for whoever answers for the payroll: it decides who may close and transmit, so a preparer who could open it would be granting themselves the right.

Preparing and transmitting payroll

This block decides what each person sees and may do in the Payroll tab. Three levels:

  • No access: does not see the Payroll tab.
  • Preparer: checks and corrects, does not close. Concretely, they check the month, correct the sheets and follow how the other venues are doing. They do not lock the weeks, do not close and do not export, and have neither the full report nor the export in their menu.
  • Full access: every screen, locks, closes and exports.

By role

One level per role: Administrators, Planning, Human resources. That is the general rule. If a role is held by nobody in this venue, the screen says so under its name, to spare you granting a level that would serve no purpose.

By person

The exceptions, for the administrator who only prepares, or the planner who is in fact the one who transmits. The choice by name takes precedence over the role's. As long as no exception exists, everyone follows their role's rule.

One safeguard: Shyfter refuses a configuration that would leave nobody able to close.

A setting lets you apply the same configuration to every venue on the account.

Payroll export settings

Enable period locking on the account

Disabled, locking has no effect: periods stay editable by everyone, and the Locking screen does not even appear in the Payroll tab. Enable it when you want the locks set in Payroll → Locking to be genuinely respected.

Once enabled, the detail appears: role by role, and if need be person by person, you choose who the lock blocks. Here too, the choice by name takes precedence over the role's. By default administrators go through and the other roles are blocked.

Strict closing control

Enabled, no export goes out before the month is closed, for every venue covered. Disabled, the export screen merely warns.

Worth enabling if you transmit several venues' payroll in a single file: an early transmission would go out without one venue's hours.

Multi-venue export

If your account has several venues, enable this setting to transmit their payroll in a single file, then choose which ones go together. The export screen will start on that selection.

Each venue shows its employer file. If the venues you group belong to different employer files, Shyfter warns you: one file names only one employer, so the export will produce one file per employer file.

What is set elsewhere

Two pieces of information the payroll cannot do without do not live here but on the employee's profile: their payroll office contract number and their national number. Their absence is precisely one of the points the closing will flag.
