Sort users in the schedule
Order your team by status, skill, name or date in the schedule: every option and how it works.
The order in which your team members appear in the schedule is not fixed. You choose how they are sorted: by status, by skill, by name or by date. A good order saves reading time: the right people end up side by side, and the schedule is quicker to build.
This setting applies to your whole team and is remembered: once chosen, every schedule view follows the order you defined.
Where to set the sorting
Sorting is set in the schedule settings, not directly in the grid. Go to Settings, open the Schedules settings for your department, then find the Sort your users section.
You will find two separate settings, because the schedule views don't have the same needs:
- In the monthly and weekly views: the order applied to the Month and Week views.
- In the daily view: the order applied to the Day view, which offers one extra option.
Each setting is a dropdown. Select a value and it is applied to the schedule immediately.
The sorting options
User status Team members are grouped by status (full-time, student, extra, flexi...), in the order your statuses are defined in the settings. This is the default order: it groups together profiles that are managed the same way. To change the order of the groups, change the order of your user statuses in the settings.
Skill Team members are grouped by skill, in the order your skills are defined. Shyfter uses the first associated skill to place each person. Handy to see at a glance who covers which position (kitchen, floor, till...). This option only appears if skills are enabled on your account.
Name Team members are sorted by name, in alphabetical order. This is the simplest sort to quickly find a specific person.
Date (daily view only) Team members are sorted by the start time of their shift that day: the first to start appears at the top, the last at the bottom. People with no shift that day are pushed to the end of the list. This option only exists in the daily view, where it gives a chronological reading of the day.
How the ordering works
A few rules are added on top of the sort you choose, to keep the schedule readable:
- Open shifts stay at the top. Unassigned slots (open shifts) are always shown above the team members, whatever the sort, so they stay visible and easy to assign.
- The active section comes first. If you are viewing the schedule of a specific section, the team members who have a shift in that section move to the top of the list.
- People with no shift move to the bottom. Team members who have no shift over the displayed period are placed at the end of the list. In the daily view, if the option to show all resources is disabled, they can even be hidden.
The sort you choose (status, skill, name or date) therefore applies within this framework: first the open shifts and section priorities, then your team members sorted according to your setting, and finally the people with no shift.
Good to know
The order is tied to the schedule settings of your department: if you manage several departments, set the sorting in each one. The choice applies to everyone who views this schedule, it is not an individual preference.
