Shift Swap: exchanging shifts between collaborators
Let your collaborators swap shifts with each other, with your approval or automatically according to your rules.
Shift Swap is a feature that lets two collaborators offer to exchange their slots with each other. It is handy for teams that partly manage themselves autonomously: fewer last-minute requests for the manager, and more flexibility for collaborators.
Enabling Shift Swap
Go to Settings → Schedules → Shift Swap and enable the feature.
Once enabled, additional options appear. Configure them to suit your needs:
- Automatic approval or manual approval by the manager.
- Minimum lead time before the shift to propose an exchange.
- Any restrictions (sections, required skills).
How an exchange works for collaborators
From the Shyfter Staff app, a collaborator can:
- Select one of their shifts and propose an exchange.
- Choose the colleague they want to swap with.
- Submit the proposal.
The other collaborator receives a notification and can accept or refuse.
- If you have enabled automatic approval, the exchange takes effect as soon as both collaborators have accepted.
- If you have enabled manual approval, the request arrives in your interface for validation before the exchange is confirmed.
Tracking ongoing exchanges
Go to Schedules → Shift swap. For each exchange, the list shows: From (the requester), the Request date, the Shift concerned, to (the colleague targeted by the exchange), the Status, the Reason and Actions to process the request. A filter at the top right lets you display exchanges by status: All, Pending, Accepted or Inactive.
Good to know
A shift exchange does not affect leave balances or individual hour counters (collaborators exchange their slots, not their contractual hours). However, check that the exchange remains compliant with the legal rules (sufficient rest, required skills, etc.).
