Printing schedules
Export your schedules in PDF or Excel, over a day, a week or a month, with fine filtering, a sort of your choice, the columns to display, section merging and email sending.
Even if your employees view their schedule on the Shyfter Staff app, a printable version remains useful: display in the break room, sending to people without a smartphone, archiving or transmission to a manager. Shyfter offers a very complete print window that produces a PDF or an Excel file, fully configurable. Go to Schedules → Schedule management, then open printing from the toolbar (print button / Generate PDF). The Schedule printing window opens.
Choosing the view and the format
At the top of the window, two settings:
- The view: Day, Week or Month. It determines the layout of the document. (From the operational or services views, printing is based on the week.)
- The format: PDF (ready to print or display) or XLSX (Excel file, to rework or archive the data).
Selecting the period
The Date selection field defines the range to print (for example from 29 June to 5 July). You are not limited to a single week: you can cover several weeks or several months at once. In that case, Shyfter generates one document per period unit (per week, per month), which produces several files grouped at the end (see below).
Filtering what appears
Three filters let you target the content precisely. Each is multiple and offers an "all" value by default:
- Sections: "All sections" or a precise selection (bar, kitchen, dining room, etc.). This filter only appears if the Sections module is active.
- User statuses: all statuses, or only some (employees, students, extras, etc.).
- Skills: all, or only certain skills.
To this is added the Shift type: you choose to include the Shifts, the Absences and/or the Unavailabilities. Remove a type to exclude it from the document.
Sorting the document
Two settings define the order of the rows:
- Sort: by First name, Last name, Sections, Skills, Start time or User status.
- Direction: Ascending or Descending.
You thus obtain a schedule ordered exactly as you want, for example grouped by section or by skill.
Choosing the information to display
A series of checkboxes lets you add or remove elements on the document:
- Print unapproved shifts: also include shifts not yet validated.
- Print tasks: display the tasks associated with the shifts.
- Print attributes: display the shift attributes.
- Print skills: display the skills.
- Print statuses: display the users' status.
- Print sections: display the section of each shift.
- Merge sections: see the dedicated section below.
- Print shift costs: show the cost of each shift.
- Print comments: include the shift comments.
- Print labels: display the labels (tags), in week view.
Some of these boxes only appear if the corresponding module is enabled on your account: Print tasks (Tasks module), Print attributes (Attributes module), Print skills (Skills module), Print sections and Merge sections (Sections module).
Two boxes also depend on the chosen view: Print hours appears in Month view, and Print labels in Week view.
Several sections and ZIP file
When you print several sections, two behaviours are possible:
- Without Merge sections: Shyfter generates a separate document per section. When the export thus produces several files (several sections, or several weeks/months), they are grouped in a single ZIP archive, easier to retrieve.
- With Merge sections ticked: all the sections are combined in one and the same document.
This is handy for multi-section establishments: you launch a single printing and you obtain either one file per section, or a consolidated document, depending on your need.
Direct download or email sending
At the bottom of the window, the Direct download box determines how you retrieve the result:
- Ticked: the download starts automatically, but it only covers the view currently displayed on the screen. It is the quick option for an immediate need on what you see.
- Unticked: Shyfter launches a full generation in the background. A message confirms that the printing is in progress and that the generation can take from a few seconds to several minutes depending on the size of the document. You then receive an email containing the print files (the ZIP archive where applicable). It is the option to prefer for a large or multi-period export.
Finish by clicking OK to launch the printing, or Cancel to close without generating.
