Performance codes in shifts
Force a specific code on a shift using special scheduling codes, so performances are exported with the right code to your social secretariat.
A performance code qualifies the type of work of a shift (regular work, night hour, Sunday, specific premium...). It's this code that lets your social secretariat correctly value each hour: right rate, right premium, right treatment. Most of the time, Shyfter applies these codes automatically thanks to your HR rules. But sometimes a specific case must be handled manually, on a particular shift: that's the role of special scheduling codes.
Why it's useful
Without these codes, an exceptional situation would force you to correct the performance afterwards, at payroll time, with a risk of oversight or error. By forcing the right code directly on the shift when you schedule it, you guarantee that the performance will go out with the right label all the way into the performance sheets and exports, without manual rework. This is particularly valuable for:
- a one-off premium or a specific code negotiated with your social secretariat;
- an atypical performance that no automatic HR rule covers;
- an exceptional case that you'd rather decide yourself than let a general rule apply.
In a word: HR rules handle the automatic and recurring, special scheduling codes handle the exception you force manually.
Where to create these codes
Go to Settings ⚙️ → HR → SocSec codes. This page manages your social secretariat (or social bureau) codes, which serve as the basis for performance sheets, exports and HR rules.
At the top, the table lists your social secretariat codes with, for each one, the HR code (the identifier on the Shyfter side), the Code (the social secretariat's one), the Description and Actions. The View default codes button shows the standard codes offered, and New lets you add one.
Further down, the Special scheduling codes section is the one we're interested in here. Its principle: create custom codes and link them to one of your social secretariat's codes, so they become usable directly at scheduling time.
Create a special scheduling code
In the Special scheduling codes section, fill in:
- Description: the label of your custom code, the one you'll recognize when scheduling.
- Social secretariat code: the official code from your secretariat to attach this custom code to, chosen from the drop-down list.
Confirm with the add button. The code then becomes available in the schedule.
For the list of social secretariat codes to be populated, your account must be linked to your social secretariat. If the list is empty, get in touch with Shyfter support to set up this link.
Force a code on a shift
Once your special codes are created, you can impose one on a specific shift when creating or editing it, in the shift panel. The chosen code is then "forced": it takes precedence over what an automatic rule would have determined, and stays attached to that shift.
In performance sheets and exports
The code forced on a shift is carried over as-is into the performance sheets and into the export files destined for your social secretariat. Your payroll manager therefore finds the right performance directly, without having to recreate or correct it.
Special codes or HR rules?
The two complement each other:
- HR rules automatically apply a code based on conditions (time band, day, status, public holiday...). It's the tool for everything systematic and recurring.
- Special scheduling codes are used to force a code manually on a given shift, for the exceptions you want to control yourself.
If you don't use a social secretariat integrated with Shyfter, these codes keep some usefulness as internal markers in your performance sheets and reports.
