Find a replacement with AI
For a last-minute absence or a free shift to fill, the AI analyses your team and suggests the most suitable employees, ranked by relevance, with everything you need to decide in one click.
An employee calls in sick at the last minute. You need to find someone available, with the right skills, who is not already scheduled elsewhere and who will not exceed their hours. Without a tool, that means poring over the schedule, checking availabilities and calling people one after another. This is exactly what this feature does for you: in two clicks from the schedule, the AI reviews your whole team and suggests the best replacements, ranked from most to least suitable, with all the useful information in front of you.
This is one of Shyfter's great strengths: you save precious time during rush moments, while making an informed and fair decision.
Two situations covered
Replace an absent employee on an assigned shift
An employee cannot cover their shift. Right-click the relevant shift in Schedules → Schedule management and choose Find a replacement. The window recalls the shift to cover at the top (the original employee and the hours, for example 08:00 – 17:00) and displays the suggested replacements below.
Fill an unassigned free shift
You have an open slot and want to identify who would be the best fit. Right-click the free shift and choose Find the ideal employee. The AI identifies the best person on your team for this slot.
What the AI takes into account
- Each employee's availability (leave, absences, encoded unavailabilities, shifts already scheduled).
- The skills required for the shift and those of each employee.
- Everyone's habits and preferences (usual sections, type of shift already worked).
- The legal and contractual constraints: rest between two shifts, hours volume relative to the contract, weekly ceiling.
Reading the suggestions: the score and the badge
Each candidate is given an overall score, summarised by a coloured badge, from the best fit to the least good: Ideal, Excellent, Good, then Acceptable. The higher the badge, the better the person matches the need. A tooltip on the badge summarises, in one sentence, why this candidate is suggested.
By clicking See the details, you unfold the breakdown of the score across several sub-scores:
- Base score
- History score: how used the person is to this type of shift
- Skills score: match with the required skills
- Contract hours score: margin relative to their contractual volume
- Performance score: their evaluation rating
- Status score: match of their employee status
Each candidate's card
To decide without leaving the window, each candidate displays concrete information:
- their employee type (employee, student, extra, and so on);
- their hourly cost;
- their hours this week, relative to their maximum (for example 34 / 38h): you see at a glance the margin available before putting them into overtime;
- their total worked hours and their total number of shifts;
- the breakdown of their shifts: morning shifts, evening shifts and weekend shifts, handy for balancing the load and not always overloading the same people.
Assign in one click
Once you have made your choice, the Assign this employee button assigns the shift directly to the chosen person, without going back through the creation panel. The schedule is updated immediately.
You remain the decision-maker
The AI suggests, it does not decide for you and changes nothing without your validation. You choose among the suggestions, or you ignore them to manually assign someone else. If no candidate is suitable, a message tells you so clearly.
The feature is all the more relevant when your team is well documented in Shyfter: up-to-date skills, encoded unavailabilities, contracts and costs configured, evaluations filled in. The more complete the data, the finer the suggestions.
