A checklist is a list of tasks to complete during a shift. You create reusable templates (for example: "Opening", "Closing", "Cleaning"), you attach them to the relevant shifts, and your team members complete them from their phone during their service. At a glance, you know what was done, by whom, and when.
Usage examples
- Opening and closing tasks for a store
- Hygiene checks (temperatures, HACCP, cleaning)
- Equipment or stock checks
- Internal procedures to follow at every service
Create a checklist template
Go to Settings → Schedules → Checklists and click New.
Give your template a name (e.g. "Close register") and an optional description.
Click Add a task for each item. For each task, choose:
- The label of the task
- The expected response type (see below)
- Required: if enabled, the task must be completed before the end of the shift
Available task types
- Checkbox: for simple actions to validate (e.g. "Turn off the lights").
- Yes / No: for questions with a binary answer (e.g. "Is the register closed?").
- Number: for measurements or quantities, with definable min/max values (e.g. "Fridge temperature").
- Text: for a free comment.
- Photo: for visual proof (e.g. "Photo of the tidied bar").
Reorder the tasks by drag and drop, then click Save.
Attach a checklist to a shift
When creating or editing a shift in the schedule, scroll down to the Checklist section in the side panel and select the desired template.
You can customize the checklist for this specific shift (add or remove one-off tasks) without changing the original template.
The checklist attached to a shift is a copy of the template at the moment it is attached. If you edit the template later, shifts that are already scheduled are not affected.
On the team member's side: completing the checklist
The checklist is only accessible to the team member while they are clocked in: it appears in their Shyfter Staff app once they have clocked in, and stays available as long as their clocking is ongoing. Without an active clocking, the checklist is not shown.
During this clocking, the tasks can be checked off at any moment, in whatever order the team member wants: they are not required to complete them all at once or at the start of the service. They progress at their own pace throughout the shift, and progress is saved automatically as they go.
Required tasks are marked with an asterisk.
Track completion
Go to Reports → Checklists to review the status of your teams' checklists. Filter by period, status or team member. Click a row to see the detail of each response (value, text, photo) and identify what was left incomplete.
