Adding tasks to a shift
Create your tasks in the settings, then assign them to a shift from the shift panel or by drag and drop in the day view.
Shift tasks let you detail the content of the work planned during a slot. Rather than simply indicating that a team member works from 9am to 5pm, you can specify that they handle the kitchen from 9am to noon, then a training session in the afternoon. It's useful for versatile roles, teams whose functions change during the service, or simply to structure the work and make communication easier.
Prerequisite: create your tasks in the settings
Before assigning tasks, you need to have created them. Go to Settings ⚙️ → Tasks → Task management. The page shows the list of your establishment's tasks.
The table shows, for each task: the ID, the Name, the Color, the Code, the Default duration (min) and the Actions (Edit, Delete). A search bar lets you find a task, and the New button creates one.
Create or edit a task
The New button (or Edit on a row) opens the "Editing a task" panel with the following fields:
- Name: the label of the task (required), for example Order, Kitchen, Disinfection.
- Code: a short code shown on the shift in the schedule (for example OR, KI, DF).
- Default duration (min): the duration suggested automatically when you add the task to a shift, in minutes.
- Deduct from headcount in the day view: a toggle. When enabled, the time of this task is removed from the headcount counted in the day view, because the team member is not available for the service while performing it.
- Color: a color dot chosen from the palette, which lets you spot the task at a glance in the schedule.
Confirm with Save, or close with Cancel.
Delete a task
The Delete button opens a confirmation ("Deletion, Are you sure you want to delete this task?") with Cancel and Delete. Deleting removes the task from the list available for scheduling.
Assign a task from the shift panel
Open a shift panel (creation or editing) in Schedules → Schedule management. Scroll down to the Tasks section, click Add a task, choose the task from the list, then fill in its start and end time (the default duration is suggested). The add button lets you stack several, and each line can be removed. Save the shift.
Assign a task in the schedule (drag and drop)
In addition to the panel, you can add a task directly in the schedule by drag and drop, which is often faster. This method is only available in the day view: it doesn't exist in the week view.
In the day view, click the small round T button that appears in the toolbar (once you've scrolled down the schedule) to show the tasks bar at the bottom of the screen. This button only appears if you have already created at least one task in the settings.
Once the bar is displayed, your tasks appear as colored dots, with the label "Drag & drop onto shifts". Just drag a task and drop it onto a shift to add it there.
The tasks then appear as colored segments along the shift, on a time frieze. You can thus visualize the distribution of the service, and easily adjust each task (move, resize, replace) directly on the shift.
How team members see the tasks
On the Shyfter Staff app, each team member finds the tasks assigned to their shifts in the detail of their slot. It's a clear, centralized way to pass on operational instructions.
Tasks or checklists?
Tasks define what the team member must do and when, with time slots; they are visible before and during the shift.
Checklists (Pro subscription) are control lists that the team member completes during their shift from their phone, with varied response types (checkbox, yes/no, photo, number), and generate a tracking report.
If you only want to inform, tasks are enough. If you want completion tracking with confirmation, use checklists.
