The employee profile: an overview
An employee's profile brings together their data, contracts, counters and documents across a series of tabs. Here's how to find your way around.
When you click on an employee from Team → Collaborators, you open their profile. This is the person's complete file: their personal information, contractual data, hours, absences, documents and activity. Everything related to this employee is managed from this screen, organised into tabs.
The profile tabs
At the top of the profile, a tab bar lets you navigate between the different sections. Depending on your access level and the modules enabled on the account, some tabs may not appear.
Dashboard shows a summary of the employee: their hours for the period, their counters and their upcoming deadlines. It's a handy overview before diving into the detail.
Profile gathers the person's data and all their settings. It's the richest tab, split into sub-tabs described below.
Activity traces what the employee has done: their scheduled shifts, their clockings, their requests (leave, changes, unavailabilities) and the history of their actions. You also track their declared unavailabilities here.
Counters brings together the overtime counters and the hours balance. You can read the balances, add an amendment and correct a counter manually.
Reports gives access to the timesheets and exports specific to this employee, without going through the full Reports module.
Shyfter Drive is the employee's document space: you upload and share their documents there in a centralised way.
Dimona appears on Belgian accounts and displays the Dimona declarations linked to this employee.
Notes is a free space to record internal remarks about the person, visible only to managers.
The Profile sub-tabs
The Profile tab is itself divided into several sub-tabs.
Profile details contains the basic information (first name, last name, nickname, language, email, phone), the additional information (date and place of birth, marital status, gender, country of birth, nationality, IBAN, BIC), the full address and the custom fields you defined in the settings. From this screen, you can also send the login details to the employee or activate their account.
Settings gathers the settings specific to the employee: their PIN code, their password, their clocking options and other individual preferences.
Contractual data brings together the HR information needed for contracts, payroll and declarations: contract type, job function, joint committee, cost, calculation base, etc. This tab is only visible to administrator, HR manager or schedule manager profiles.
Schedule templates lets you create one or more cyclical schedule templates and apply them over a period. Handy for employees who work to a regular pattern.
Notifications defines, employee by employee, which alerts they receive and on which channels (email, mobile notification, SMS, notification centre).
Other sub-tabs appear if a social secretariat connector is plugged into the account (AbsoluteYOU, Update Pro, Attentia, Acerta, Easy Pay). They show the employee's synchronisation status towards the payroll tool and signal, with an icon, whether their file is exportable or whether information is missing.
An orange dot next to a tab or a piece of data indicates that a mandatory piece of information is missing or unverified. This is often the case for the national number until it has been validated.
