Deactivate or delete a team member
How to remove a team member from your schedule while keeping the history of their data.
Deactivate or delete: what's the difference?
When a team member leaves your company, you have two options in Shyfter. Deactivation removes the person from your active schedule while keeping all of their data. Permanent deletion erases all of their information. In most cases, deactivation is recommended.
Deactivate a team member
- Go to Team → Users and select the relevant team member.
- In the Profile tab, click the Deactivate icon.
- A confirmation window opens ("Are you sure you want to deactivate this user?") with a checkbox Delete all shifts still scheduled.
The team member disappears from your active list and can no longer be scheduled. Their data (clock-ins, contracts, history) remains available for consultation.
Their shifts don't disappear automatically
This is an important point: deactivating (or deleting) a team member does not automatically delete their already scheduled shifts. Each time, you keep the choice thanks to the Delete all shifts still scheduled checkbox:
- Box unchecked (default): the team member's future shifts stay in the schedule. Useful if someone else needs to take over those slots, or to avoid creating unexpected gaps in the schedule.
- Box checked: the team member's remaining scheduled shifts are deleted at the same time as the deactivation, to free up the schedule right away.
So you decide, case by case, whether the person's departure should clear their upcoming slots or not.
To find a deactivated user again later, go to Settings ⚙️ → General → Deactivated users.
Reactivate a team member
From the list of deactivated users, click Activate to put the person back in your active list.
Permanently delete a team member
From the list of deactivated users, click the trash icon next to the relevant profile. All of this user's data will be erased permanently and irreversibly.
This action is final. Before deleting, make sure you have exported or archived any data you might need (reports, payslips, and so on).
