Changing an employee's email address
Change an employee's email address from their profile, and understand why the field is sometimes greyed out.
An employee's email address matters: it is their login for Shyfter, and it is where they receive their notifications (invitations, documents to sign, reminders, and so on). You may occasionally need to correct it, for example after a typo or a change of work address.
Changing the address from the employee's profile
- Go to Team and open the profile of the employee concerned.
- Stay on the Profile tab, Profile data sub-tab.
- In the basic information, find the Email field and enter the new address.
- Save at the bottom of the profile.
The new address immediately becomes the employee's login: they will therefore need to use it to sign in. Let them know about the change.
Why is the email field sometimes greyed out?
If the Email field appears greyed out and cannot be edited, this is intentional. An information message is shown when you hover over the field. There are three possible reasons:
- You are not an account administrator. Only an administrator can change an employee's email address. If you have a scheduling or HR manager access level, the field stays read-only.
- The employee is a temp worker managed through a connected agency (for example AbsoluteYOU). Their identity information is then locked on the Shyfter side, because it is driven by the agency.
- The address is shared across several accounts. Since one email address identifies the person across all their Shyfter accounts, it cannot be changed from just one of them. The message shown is then: "This address is used by several accounts. Only an administrator of all those accounts can change it." In other cases, the message is: "You cannot change the email address of this user because it is already linked to another user account."
What to do if you cannot change it
- If the address is shared across several accounts or establishments, the change must be made by someone who is an administrator of all those accounts.
- If it is a temp worker, the address is managed on the agency side (the information then flows back into Shyfter through the synchronization).
- If in doubt, or if the employee needs to change a shared address when no common administrator exists, contact Shyfter support: we will tell you how to proceed.
Since the email is the login, an address already used by another employee cannot be reassigned as is. Each person must have their own address.
