The internal email messaging
Send a message by email and/or on the app to your employees, targeted by status, with a subject, a text and a schedulable send date.
This module is not a chat messaging: it is a tool for sending messages to your employees. You write a message, you choose who receives it (by status), the send channels (email and/or mobile app) and the send date. It is ideal for top-down communication: informing of a new feature, reminding of an instruction, warning of an event.
Accessing the messages
Go to Schedules → Messages. The page lists the messages already created with, for each one: the Send date, the Message (its subject), the Recipients and the Status (scheduled or sent). The create button opens the New message panel.
Writing a message
The create panel contains the following fields, all mandatory:
- Recipients: you target your employees by status (for example employees, students, extras). It is a multiple-choice list with search: the message goes to all the employees of the selected statuses. There is no individual name-by-name selection here, the targeting is done by personnel category.
- Message subject: the subject, as for an email.
- Message: the body of the text.
- Send date: the date (and time) at which the message should go out. You can send it right away or schedule it for later.
Choosing the send channels
Two boxes determine where the message is transmitted:
- Send by email: the message is sent by email to the employees concerned.
- Send on the mobile app: the message is pushed to the Shyfter Staff app.
You must tick at least one channel. You can also combine both to maximise the chances that the message is seen.
Scheduling, tracking and deleting
Once confirmed, the message joins the list with the Scheduled status as long as its send date is not reached, then Sent once it has gone out.
A scheduled message (not yet sent) can be opened for viewing and deleted if you change your mind. However, a message already sent can no longer be modified: its subject and text are frozen.
When to use it
- Announce the publication of a new schedule.
- Broadcast an instruction to a whole personnel category.
- Warn of an event, a meeting or an organisational change.
- Schedule a reminder in advance that will go out on the right day.
For a two-way exchange with an employee (conversation, replies), use the Shyfter Talk / Conversations messaging module instead. The Messages module is used to broadcast a message targeted by status.
