Document templates

Prepare your standard documents (certificates, amendments, work rules, letters, and so on) as reusable templates, with a loaded file or a text template and zones to fill in.

Document templates work exactly like contract templates, but for all your other HR documents: certificates, amendments, work rules, letters, charters, and so on. You prepare them once and reuse them for any team member. Go to Documents → Documents → Templates.

Create a document template

Click Create a document template (or New document template) and give it a name. As with contracts, there are two approaches:

  • Load a file via Load a document in Word format (or PDF depending on the case): you reuse your existing layout. You can then place zones on it.
  • Text template (HTML): you write the document in Shyfter with variables. This mode is not compatible with the zones editor.

Add zones

On a template based on a loaded file, enable Use the zones editor then save to open the editor. There you drop the fields to be filled in and, if the document is to be signed, a signature zone. The full workflow is described in the dedicated article on the zones editor.

Signature required or not

A document does not necessarily need to be signed. You choose whether the document requires a signature: in that case, a signature zone is expected and the team member will have to sign. Otherwise, the document is simply made available (information, handing over a set of rules, and so on).

Manage your templates

Each template can be edited, downloaded or deleted (after confirmation). Once your templates are ready, you generate a document for a team member from a template, or by loading a one-off file: see the article "Create and send a document".
